This privacy policy details how Crescent Purchasing Consortium (CPC) uses and protects any information that you provide to us whilst you use any website under the control of the CPC, including but not limited to www.thecpc.ac.uk.
CPC is fully committed to ensuring that your privacy is protected. Should CPC ask you to provide certain information by which you can be identified when using this website, it will only be used in accordance with this privacy statement.

CPC may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. We have updated this page in line with GDPR requirements which came into force on 25th May 2018.

User data collection

We collect necessary user data for anybody that completes one of our data collection forms such as member registration forms, the contact us form, the CPC Quote Tool, the CPC Sourcing Cloud Tool or the CPC Web Chat Tool. We shall only use this data in the following ways;

  • For our own internal records.
  • To provide an appropriate level of response to a query raised via e-mail, our contact form or Web Chat Tool. Note: If we request further information from you in order to provide you with the most accurate answer possible, we will always explain at the outset our reasoning behind the request for additional information.
  • To clarify ambiguous information. Occasionally information provided to us may be ambiguous, not be clear or simply have been mistyped. Where CPC believe this to be the case; we will use any contact details you have provided to contact you and ask for additional clarification. We will always explain our reasoning behind the clarification request.
  • For internal analytical purposes; to facilitate improvements to products and services for our members.
  • We may periodically send marketing materials either by post or e-mail about new services, frameworks, special offers or other information which we believe would be of interest to you. In consideration of e-mail, you will have the option 'opt-out' or reduce the volume of e-mail you receive from us at any time.
  • Share your details within the CPC Group and with authorised third-parties, including but not limited to:
    • Member contact details that are shared with approved suppliers.
    • Member contact details that can be shared with Dukefield Procurement (formerly NPG) to assist them in providing framework support. Dukefield Procurement may contact members with relevant marketing content
    • Member contact details that can be shared with Elcom so that they can provide the CPC Sourcing Cloud Tool support.
    • Member contact details that are shared with PDT Marketing to assist with market research
    • Supplier contact details that are accessible to registered members.
  • CPC members who join the CPC Communicator mailing list will sign up with Jiscmail and their details will be viewable by CPC members of staff
  • CPC members who request a visit from a CPC Regional Procurement agree to their details being shared within the CPC and authorised third parties as detailed in this Privacy Statement
  • From time to time, we may also use your information to contact you for market research purposes by email, phone or mail.
  • Any responses to surveys sent using tools such as Survey Monkey will be viewable by CPC members of staff. Any data which is collected will only be used externally with your express written permission or when anonymised.
  • We hold contact details for anybody that applies for a vacancy or to join the talent pool through our management tool, People HR.
  • CPC staff can access all tender responses sent using CPC's preferred tendering tool, MultiQuote.
  • We may use the information provided to customise the website according to your interests.

CPC will not

  • Sell, distribute or grant access to your personal information to third parties (not already mentioned above) unless we have your express written permission or are required by law to do so.
  • Allow unapproved third parties access to the back-end administration area of this website.
  • Be aggressive or coercive in the manner in which we request information from you. There is particular information which we require from you to complete your registration as a CPC member, however, if you choose not to provide us with these details, then you must accept that you cannot be registered as an CPC member.

Our legal basis for processing your personal data

Our lawful basis for processing your general personal data stems from our legitimate interest in offering you our procurement services, where genuine needs for our services have been identified.

Processing your data is necessary because regular marketing contact with you is an effective way to determine whether you have a genuine need for our services and to agree a contact strategy with you that best suits your preferences and timescales, except where such interests are overridden by your interests or fundamental rights or freedoms.

Security

CPC, in accordance with best practice, are committed to ensuring that your information is stored securely. To prevent unauthorised access or disclosure, CPC administer suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

Third party platforms

Mailchimp

If you sign up for our newsletter, which is administered through Mailchimp, or if you register for our site, we will store some of your information, including your email address, IP address and certain information about the links you click within the emails we send you, on a Mailchimp server.

Mailchimp will never contact you. Neither we nor Mailchimp will ever sell your email address. Neither will we share it with any other party, unless we are legally compelled to do so.

You are always free to unsubscribe from our newsletter, but as long as you are registered with CPC we may use Mailchimp to send you information about your account.

Protecting your private information
